The five things owners ask first

What does it cost?
You pay one flat fee every month, and the prices are published on our pricing page, where you can read them before you speak to anybody. The fee covers the day-to-day work: looking after your computers, your email, your files and your backups, and answering when something goes wrong. Software licences and hardware are passed on at what they cost us, with no commission added. Anything outside the monthly fee is quoted in writing before it starts, and nothing gets bought on your behalf without your say-so.
Are we locked into a long contract?
You can leave with thirty days' notice, and the notice period is the whole of it. When you go, your data, your accounts and your passwords go with you, along with written notes on how everything is set up, so the next people can pick it up without starting over. We would rather you stayed because the phone gets answered.
What happens if something breaks at night or on a weekend?
Tell us on the call what your business needs outside office hours, and we put the hours we cover in writing before you sign anything. Some businesses need somebody reachable at 11 pm and some genuinely do not, and the honest answer depends on which one you are. The promise we publish and keep every working day is this one: leave your name and number and a person calls you back the same business day, usually within an hour.
Who will I actually talk to?
One person owns your account, and that is the person who calls you back. They learn how your business runs, which staff need what, and which machine in the corner everybody is afraid to touch. Behind them sit specialists for networks, email, backups and security, and you do not have to know which is which. You explain your business once.
What happens to our data?
Your records stay yours from the first day to the last. We handle them under Canada’s privacy law, and for clinics under Ontario’s health-records law. Your files are kept separate from every other client’s, they are never used for marketing, and they are never sold or shared. On the day you leave, we hand back the accounts and the passwords and remove our access.

Working with us day to day

What do you actually look after?
The things your staff touch to get through a working day: the computers, the email, the files, the printers, the internet connection, the phones where they run through a computer, and the backups sitting behind all of it. We watch for the problems that build up quietly, and we plan the replacements before old machines fail in the middle of a busy week.
Will we have to replace all our computers?
We start by writing down what you already have and how much life is left in it. Machines that still do the job stay. Where something is genuinely holding you back or is a risk to keep, we say so, tell you what it would cost, and let you decide the timing. Nothing gets replaced because it is old for the sake of it.
Can you work alongside the IT person we already have?
Yes, and it is a common arrangement. Your person keeps the day-to-day work they know best, and we cover the parts that need a bigger team: security, backups, the network, and the planning that gets squeezed out when one person is doing everything. It also means somebody answers when they are on holiday.
How quickly do you answer when something breaks?
Ask us to call you back and a person rings you the same business day, usually within an hour. For faults, the response depends on how much of your business has stopped, so we agree that with you in writing. One number printed here would have to cover a jammed printer and a clinic that cannot see its bookings on the same day, and those are different emergencies.
Do you come to our office?
Yes, when the job needs hands on the equipment. Most work happens remotely because it is faster for you, and a visit is arranged with you in advance, so your front desk knows we are coming.
What size of business do you work with?
Businesses with their own premises, their own staff and a real dependency on their computers: dental and medical clinics, law firms, construction and trades companies, and multi-location retailers. Very small offices usually need less than we offer, and we will tell you honestly if that is you.

Money and contracts

Do you charge per computer or per person?
One flat monthly fee, published on the pricing page. Your bill does not jump every time you hire somebody or buy a laptop, which is the part owners tell us they were most tired of. Licences, hardware and any advertising spend are passed on at cost and shown as separate lines on your statement.
Are there setup costs?
Anything beyond the monthly fee is quoted in writing before any work starts. Some moves are simple and some involve replacing equipment that should have gone years ago, so we look first, tell you the number, and let you decide. Nothing is bought on your behalf without your approval.
What if we want to stop?
Thirty days' notice, in writing, and we hand everything back. You keep the accounts, the passwords, the documentation and the data. We would rather part cleanly and be recommended than hold anybody in place with paperwork.

Your information and staying safe

Are you certified?
We hold no security certifications, and we would rather say that than let you assume otherwise. What we do hold is a way of working: your information is handled under Canada’s privacy law, and for clinics under Ontario’s health-records law. If your insurer or your regulator asks what protections are in place, we will write it out for you in plain words and put our name on it.
Where are our files kept?
That depends on what you use today, and we write it down where you can read it: which files sit on which system, who can open them, and where the backup copy lives. A backup only counts once somebody has restored from it, so we test them instead of assuming they work.
What happens if we get hit by ransomware?
We work on the assumption that it will be tried on you at some point. That means backups you can actually restore from, kept where an attacker cannot reach them, and a written plan for who does what on the day. If it happens, you call your account lead and we start working through that plan with you.
Who on your side can see our information?
Only the people working on your account, and only what they need to do the work. Your data stays separate from every other client’s and is never used for marketing. When somebody leaves our team, their access to your systems goes the same day.

Getting started

What happens after I ask for a callback?
A person phones you the same business day, usually within an hour, and asks what is going wrong. It is a conversation, and it is free. If it sounds like we can help, the next step is the infrastructure audit, which is also free and ends with something written that is yours to keep, whether you hire us or not.
What is in the free infrastructure audit?
We look over what you are running and write down what we find: what is holding up, what is at risk, and what we would do first, second and third. You keep the document either way. Plenty of people read it, fix two things themselves and call us a year later.
How long does it take to switch over?
We give you the dates in writing after the audit, once we have seen what you are running. A single office with tidy equipment moves quickly, and a business with several sites and older machines takes longer, so a number printed here would be a guess about somebody else’s business.
Can we start with just one thing?
Yes. Plenty of businesses start with the part that hurts most, usually the backups or the email, and widen it once they see how we work. Ask on the call and we will tell you what the smallest sensible starting point is for you.
