Law, accounting and consulting firms

Your client files should open the moment you need them.

We look after the file storage, the billing system and the email behind them, for law firms, accounting practices and consulting firms across Canada.

A person calls you back the same business day, usually within an hour.

The file I need is on a laptop that walked out with an employee.

A client asks a simple question, and nobody in the firm can answer it.

Three things that break in a firm.

These are the calls we get from partners, in the words they use. Under each one is what we actually do about it.

Client files are spread across laptops and personal accounts.

One matter sits on the office server, one on somebody’s personal cloud drive, one on a laptop that left with a departing associate. Nobody can say which copy is the real one.

What we do

We put every client file in one place the firm owns, give each person access only to the matters they work on, and keep a copy off-site that we restore in front of you. Access follows the person, so a departure closes it the same day.

The billing system goes down in the last week of the month.

Time entries will not save, the practice system will not print, and invoices that should have gone out on the 30th go out in the middle of the following month.

What we do

We watch the practice and accounting systems and the machines they run on, and we schedule updates in a window you approve rather than letting them land as a surprise. Month-end problems get answered the same business day, and we deal with the software vendor so your staff stop having to.

An email that looks like a partner asks for a wire transfer.

The address is one letter different. The tone is right. Somebody in accounts is about to send real money to a stranger, and your insurer will ask what controls the firm had in place.

What we do

We put a second step on every mailbox at sign-in, mark mail that came from outside the firm so staff can see it at a glance, and write a plain rule that money moves only after a phone call to a number you already held. We walk your payments staff through it.

The file is where you left it, and somebody picks up when it is not.

What we look after in a firm.

Tell us which practice and accounting systems you run and we start there. PCLaw, Clio, Cosmolex, QuickBooks, Sage — the systems your practice already runs stay where they are; we look after the computers, the network and the backups they depend on, and we deal with each vendor’s support line.

  • Wherever the client files actually liveOne place the firm owns, with a copy off-site that we restore rather than assume.
  • Practice management, billing and accounting softwareTime entry, invoices and the ledgers, in whichever system the firm already runs. Tell us the name on the callback.
  • Email and who is allowed into itA second step at sign-in for every mailbox, and a clear mark on mail that came from outside the firm.
  • Laptops that leave the officeEncrypted, listed, and wiped from here when one goes missing on a train.
  • People joining and leavingAccess on the first day, and closed the same afternoon on the last one, across every system.
  • Sending documents to clientsA way to send a client a large or sensitive document without putting it in an unprotected attachment.

What it costs a firm.

The price list is published. You see the number before you sign, and it does not move because a month was busy.

$3,400CAD a month — where the published list starts, for one office
$8,900CAD a month — the middle plan, for a larger practice
30 daysnotice to leave, after the first six months

The price list adjusts for how many people you have and how many offices, and we confirm the final number in a call before anything is signed. Data is handled in line with PIPEDA.

Anything we have missed here, ask it on the callback.

Ask us to call you back
Can you work with the practice software we already have?

We start with the system the firm already runs. Tell us the name when we call you back. If it is one we have never worked with, we say so plainly before you sign anything.

Who can see our client files?

Only the people the firm names. We keep that list with you, review it whenever somebody joins or leaves, and sign a written confidentiality agreement before we get access to anything. Data is handled in line with PIPEDA.

What happens if we want to leave?

The first term is six months. After that it runs month to month with 30 days' notice. Ask us on the callback what leaving looks like in practice and we will put the answer in writing before you sign.

Tell us what is going wrong at the firm.

Leave your name and number. A person calls you back the same business day, usually within an hour, and asks plain questions about what stopped working.

Or start with the free infrastructure audit

We look at where the client files sit, who can open them and what happens at month end, write down what is at risk, and hand you the list. No charge, and no obligation to hire us.
